A 12-character number can open a Telangana land record in seconds. It can also send you in circles if you mistake it for the land’s identity or for proof of ownership.
The pattadar passbook number, usually shortened to PPB number, identifies a digitally signed passbook record in Telangana’s revenue system. The live Bhu Bharati land-status page accepts a PPB number as one search route. It separately offers a survey number and subdivision route.
Those are separate identifiers for a reason. The passbook relates to the recorded pattadar. The survey number relates to the land parcel. The registered document number relates to a deed filed with the Registration Department. One cannot safely substitute for another.
This guide explains where the PPB number fits, how to use it on Bhu Bharati, and what to do when the portal rejects it or returns a result that does not match your documents.

What a PPB number identifies
Think of the PPB number as a retrieval key for a pattadar’s passbook record. It helps the system find the revenue record associated with that passbook. It is not the physical location of the property and it is not the registration reference for the deed.

A PPB can cover more than one survey entry associated with the recorded holder. A survey number can also have subdivisions or multiple recorded interests. That is why a PPB match must still be checked field by field.
How to search a PPB number on Bhu Bharati
Use the official Bhu Bharati Details of Land service. The current public form offers two starting routes: survey number/subdivision number, or pattadar passbook number.
For the PPB route:
- Select Pattadar Passbook Number.
- Enter the full 12-character number. The current form accepts numbers only and validates the length.
- Enter the identity detail requested for that passbook type. For an individual record, the live form can request the first four digits of Aadhaar or a passport number. Institution records can follow a different identity route.
- Complete the CAPTCHA and submit.
- Match the returned district, mandal, village, khata, survey or subdivision, pattadar name, extent and classification against your documents.
- Save a dated PDF or screenshot of the result and the inputs used.
Do not send a full Aadhaar image or an OTP to an intermediary simply because they say the PPB search needs it. Use the fields presented by the official portal and share the minimum information required for a legitimate step.
What the PPB search does not prove
A successful search confirms that the portal returned a revenue record for the supplied details. It does not certify an unbroken title chain.
The safest way to review the result is to place four records side by side:
- the registered deed and its property schedule;
- the current passbook or ePPB;
- the Pahani or other current revenue entry; and
- a current Encumbrance Certificate covering the period relevant to your review.
Check names, relation names, survey numbers, subdivisions, extent, land classification and mode of acquisition. If one record differs, find out why before a sale, mortgage, partition or construction decision.
The Telangana High Court showed why process matters in B. Anitha v. State of Telangana (2023). While reviewing passbooks issued after a disputed Sada Bainama claim, the court said that when a valuable property right is affected, “notice on the vendor/his successor(s) and persons interested is mandatory.” The court set aside the impugned proceedings after finding that the prescribed notice procedure had not been followed. A passbook entry is important, but the authority and procedure behind it matter too.

Common PPB messages and what to check
“Please enter valid Digitally Signed Passbook Number”
First check that the number contains all 12 characters and was copied from the current digitally signed passbook, not from an application receipt, old account number or handwritten note.
If the number is correct, use the survey-number route. The portal’s own error handling says a request may fail when the passbook is not digitally signed or has no signed survey or subdivision entry. A survey search helps separate a passbook problem from a missing parcel record.
Identity detail does not match
The current search pairs the PPB number with an identity fragment appropriate to the passbook type. A changed Aadhaar, mistyped passport number, institution record or mismatch in the underlying data can block retrieval.
Do not keep guessing identity numbers. Preserve the message and compare the passbook holder type and current records before using the correction route.
The owner has exercised a privacy option
The portal can withhold a passbook result where the landowner has exercised a privacy right. That is not a finding that the PPB is invalid. Use the survey or subdivision search for public land details and obtain authorised documents through the appropriate process if you need a transaction review.
“No tenants registered for this PPB”
Read this message in the context of the service you selected. It means the portal did not return a tenant entry linked to that passbook in that dataset. It is not a legal declaration that nobody occupies, cultivates, leases or claims the land.
Check actual possession, agreements and local records separately. Portal absence is not proof of factual absence.
The extent or survey number is wrong
Stop using the PPB as if it resolves the discrepancy. Save the current result and compare it with the registered deed, older passbook, Pahani and survey documents. The official Bhu Bharati site lists passbook-data correction and related citizen-service flows, as well as processes for duplicate PPBs and certain acquired-land extent issues.

Lost, damaged or duplicate passbooks
Bhu Bharati currently lists an Apply for Duplicate PPB process and a separate passbook-related process flow. It also states in an acquired-land correction flow that an ePPB is issued after approval and that a physical passbook can be requested through the duplicate-PPB route.
That distinction is useful:
- If the record is correct but the physical passbook is lost or damaged, the issue is replacement.
- If the portal record itself is wrong, a duplicate simply reproduces the wrong data. The issue is correction.
- If the PPB cannot be found but the survey record is correct, the issue may be signing, linkage or passbook status.
Do not apply for a duplicate until you know which problem you have.
A remote owner’s verification checklist
- Get the PPB number from a dated passbook or ePPB, not a message forwarded without context.
- Run both the PPB search and the survey/subdivision search where possible.
- Compare the returned parcel fields with the registered deed and an older revenue copy.
- Obtain a current EC and check known transactions against it.
- Save every portal result with the date, URL and search inputs.
- If the records disagree, use the correct Bhu Bharati service or obtain local legal advice before signing anything.
This process is especially valuable after inheritance, mutation, subdivision, acquisition or a family partition. Those are the moments when the passbook, parcel and deed can drift apart.
