  2. Enter the full 12-character number. The current form accepts numbers only and validates the length.
  3. Enter the identity detail requested for that passbook type. For an individual record, the live form can request the first four digits of Aadhaar or a passport number. Institution records can follow a different identity route.
  4. Complete the CAPTCHA and submit.
  5. Match the returned district, mandal, village, khata, survey or subdivision, pattadar name, extent and classification against your documents.
  6. Save a dated PDF or screenshot of the result and the inputs used.

Do not send a full Aadhaar image or an OTP to an intermediary simply because they say the PPB search needs it. Use the fields presented by the official portal and share the minimum information required for a legitimate step.

What the PPB search does not prove

A successful search confirms that the portal returned a revenue record for the supplied details. It does not certify an unbroken title chain.

The safest way to review the result is to place four records side by side:

Check names, relation names, survey numbers, subdivisions, extent, land classification and mode of acquisition. If one record differs, find out why before a sale, mortgage, partition or construction decision.

If the number is correct, use the survey-number route. The portal’s own error handling says a request may fail when the passbook is not digitally signed or has no signed survey or subdivision entry. A survey search helps separate a passbook problem from a missing parcel record.

Identity detail does not match

The current search pairs the PPB number with an identity fragment appropriate to the passbook type. A changed Aadhaar, mistyped passport number, institution record or mismatch in the underlying data can block retrieval.

Do not keep guessing identity numbers. Preserve the message and compare the passbook holder type and current records before using the correction route.

The owner has exercised a privacy option

The portal can withhold a passbook result where the landowner has exercised a privacy right. That is not a finding that the PPB is invalid. Use the survey or subdivision search for public land details and obtain authorised documents through the appropriate process if you need a transaction review.

“No tenants registered for this PPB”

Read this message in the context of the service you selected. It means the portal did not return a tenant entry linked to that passbook in that dataset. It is not a legal declaration that nobody occupies, cultivates, leases or claims the land.

Check actual possession, agreements and local records separately. Portal absence is not proof of factual absence.

The extent or survey number is wrong

Stop using the PPB as if it resolves the discrepancy. Save the current result and compare it with the registered deed, older passbook, Pahani and survey documents. Bhu Bharati currently lists an Apply for Duplicate PPB process and a separate passbook-related process flow. It also states in an acquired-land correction flow that an ePPB is issued after approval and that a physical passbook can be requested through the duplicate-PPB route.
